Thank you for choosing Black Bear Lodging for your stay in the Smoky Mountains!

~Registered guests must be at least 25 years of age to book with Black Bear Lodging, LLC.  

~Pets are allowed, ONLY in our pet-friendly properties.  There is a $50 per pet, pet fee required when booking a pet-friendly property.  If you are found with a pet in a cabin without permission, you will be charged a minimum of $100.00 for the expense of carpet and furniture cleaning and flea prevention.

~Cancellation Policy: On properties from 1-4 BR's:  If you cancel 14 days prior to the arrival date, you will receive an 80% refund of your deposit by CHECK!  If you cancel within the 14 days prior to your arrival date, you will FORFEIT your deposit!  We will allow ONE change made to your reservation and that change must be made 14 days prior to your arrival date!  On 5 BR properties & up, a 30 day cancellation policy will apply.  If you cancel with the 30 days prior to your arrival date, you will FORFEIT your deposit!  We will allow ONE change made to your reservation and that change must be made 30 days prior to your arrival date!

~Travel Insurance: If you have included travel insurance to protect your vacation investment, please be sure to print your Description of Coverage . If you have not purchased the insurance, but are interested in all of its benefits, we encourage you to review the information on the All Seasons Travel Plan and contact us to have this valuable protection added to your reservation.

~Check-in time is 4:00 PM. (Please Note: during peak season and holidays, we will do our best to have your unit ready for check-in by 4:00 PM.  However, due to high check-out volumes, we may not be able to guarantee a 4:00 PM check-in time!)

~We gladly accept Visa, MasterCard, Discover, cash or Traveler's Cheques at check-in, however we DO NOT ACCEPT CHECKS!

                                                         Rental Agreement

Please Read Carefully:

  • Please sign this agreement and credit card slip and fax or mail back to us. This will allow us to speed up your check in process.

  • The owners of this home welcome you and are delighted that you have selected us for your vacation.  We hope your stay will be a pleasant and enjoyable one.

  • We hope that you will treat this rental unit, in which you are staying, as your home.

  • Please be sure to check your cabin well upon arrival, if you find something not working properly please contact our office.

  • WE CANNOT ISSUE REFUNDS DUE TO EQUIPMENT MALFUNCTION, POWER FAILURE OR SATELLITE PROBLEMS. However we will do our best to see that the problem is corrected as quickly as possible.

  • Should we experience any type of winter inclement weather, we will ask that you stay in your cabin until it is safe to travel.  Our maintenance staff will assist guests as safety permits.  If we are being forecasted to receive snow or winter weather, please be prepared and have flashlights, food and water and be prepared to wait out the winter storm.  If we see that it may be hazardous reaching your cabin, we will insist that your stay be moved to another property that is safe to reach, if availability permits.  Please understand that we have your best interest in consideration when notifying you of such change.  Black Bear Lodging will not be held responsible for any damages to personal property caused by weather conditions.
  • Travel Insurance: If you have included travel insurance to protect your vacation investment, please be sure to print your Description of Coverage . If you have not purchased the insurance, but are interested in all of its benefits, we encourage you to review the information on the All Seasons Travel Plan and contact us to have this valuable protection added to your reservation.
  • Even the newest and best equipment (hot tubs, heaters, stoves, VCRs, air conditioners, etc.) do, upon occasion, need repairs or to be serviced.

  • We have on file an inventory of the personal property items located in your unit. Obviously, when a rental unit is being used, either by an owner or by a renter, items within a unit become damaged under normal usage. However, you as a unit renter, can appreciate that damage can occur beyond normal wear and tear. Any damages beyond normal wear and tear that occur during your stay, we reserve the right to charge you for them. Please treat this unit with respect as if it were you own.

  • No house parties, or receptions without a proper damage deposit, also at time of reservation you need to make us aware of your intent to have a reception in the unit that you are booking. We reserve the right not to refund deposit, refuse admittance, and or discontinue occupancy if, in our opinion, it is detrimental to the cabin. There will be no refunds for early departures.

  • Pet friendly cabins are subject to a $50.00 non-refundable fee, for each pet.  The $50 pet fee will cover a pet up to 25 lbs.  There is a $75.00 pet fee which will apply to a pet between 25 lbs to 75 lbs. Only certain units are pet friendly. If you are found to have a pet in a unit that is not designated pet friendly or is not in the file as a guest, you will be charged a minimum of $100.00.

  • Guest agrees not to charge long distance calls or order Pay-Per View Movies.

  • The renter fully understands that the unit owner or the rental agency will not be held responsible for accidents or injury of any kind to the guest or for the loss of money, jewelry, or valuables of any kind.

  • Linens can be exchanged, as needed, just bring the dirty linens to the office and we will be glad to exchange them for you.

  • Please leave the key to the unit in the key box at the unit at time of check out, there is a $15.00 charge for all keys returned to the office or not left in the box at the unit. Please be advised that if you have maintenance issues and you have taken the key out of the box we can not access your unit to take care of the issue.

  • Please be advised that Check Out time is @ 10:00 am. THERE ARE NO EXCEPTIONS TO THIS RULE.

If you have not vacated the unit by that time, you will be charged $10.00 per hour for the housekeeper's inconvenience. We feel it is not fair to keep any of our guests waiting, INCLUDING the ones coming in right after you.

  • LEAVE THE UNIT IN REASONABLE CONDITION (SIMILAR TO HOW YOU FOUND IT). Clean up any major messes- we do reserve the right to charge extra for excessive cleanup. We know you come on vacation to relax and have fun so we do not expect you to do "heavy- duty" housecleaning. We only ask that you be reasonable about how you leave the property.

  • Dishes and kitchenware must be washed, dried and put away. It is your responsibility to clean your dishes. If you leave dirty dishes we will be glad to take care of them for you at a charge of $10.00. This is on the "HONOR SYSTEM" please don't put away dirty dishes or utensils.

  • If damage was done during your stay, remember that you accept responsibility at check-in for the unit. Contact our office immediately to report any damages. It is much better for us both to settle these problems while you are still in town.
